The Department of Medicine is seeking an Administrative Assistant. The incumbent:

  • Answers incoming telephone calls to the clinic regarding patient related and administrative matters.
  • Handles patient inquiries and directs them to the appropriate persons according to their needs.
  • Assists in scheduling patients that need to be seen urgently by adhering to patient appointment guidelines pertaining to overbooking, scheduling, etc.
  • Assists in scheduling follow up appointments as requested by providers. Schedules appointments for special procedures as requested by providers.
  • Assists medical assistant in scheduling appointments for diagnostics services or special procedures
  • Assist medical assistantwhen necessary with any related hospital admissions by coordinating anything necessary to complete the admission process.
  • Monitors on a daily basis U chart for any errors that might be encountered in patient appointments (rescheduling due to closing of clinics, cancelations, etc.) and contact central scheduling with any issues.
  • Assists providers with clinic cancellation requests due to vacation/sick time or service schedule by submitting the physician leave request form online, and assisting by checking in Uchart that clinics are closed/rescheduled as per approved requests
  • Maintains a written log of any messages received during the day with date, time and description of call to appropriately follow up on any missed calls.
  • Composes correspondence for patient related matters as requested
  • Assists in conjunction with Medical Assistant and secretary in the daily collection and distribution of the division correspondence to the providers assigned mailboxes in the office.
  • Assists providers in scheduling BLS/ACL classes or annual group classes.
  • Assists providers in completing credentialing renewal forms from various hospitals
  • Orders office supplies as needed by placing orders in Ariba. Contacts Physical plant to request any related service repair in the division.
  • Performs other duties as assigned.
  • The minimum requirements are as follows: High School Diploma or equivalent and one (1) year of relevant experience is required.

  • General knowledge of office procedures and operations
  • Ability to accurately prepare and maintain records, files, reports and correspondence
  • Ability to communicate effectively in both oral and written form
  • Ability to maintain effective interpersonal relationships
  • Ability to process and handle confidential information with discretion
  • Skill in completing assignments accurately and with attention to detail
  • Proficiency in computer software (i.e. Microsoft Office)
  • Any appropriate combination of relevant education, experience and/or certification may be considered.
