Job Description

IMSA seeks an experienced Executive Assistant to provide high quality administrative support to senior leadership; primarily supporting the President of IMSA, with support for the Vice President of Marketing and Vice President of Racing Operations when needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Manage incoming and outgoing phone and email communications; Maintain updated contact list
  • Schedule meetings, including but not limited to, attendee communication, meeting location and confirmations, food and beverage needs, audio/visual and IT support
  • Maintain travel profiles, book travel, manage arrangements
  • Create and edit reports, documents, and presentation materials
  • Plan and execute events for President, VP Marketing, VP Racing Operations, the department and business partners
  • Organize and maintain files
  • Assist with preparation of board, sponsor, promoter and internal presentations
  • Prepare and submit expense reports
  • Collaborate with other departments for special projects
  • Occasional travel to events is optional, not required


  • Associate's degree (A.A.) or equivalent and 3-5 years of office administration; or equivalent combination of education and experience
  • Experience providing administrative support to executives
  • Advanced proficiency in Microsoft Office - Excel, Word, PowerPoint; Calendar management using Outlook
  • Demonstrated profiency writing executive correspondence using correct punctuation and English grammar
  • Ability to speak French or German helpful, but not required
  • Experience working with Shorts Travel Management or similar travel management company
  • Experience working with Concur or similar expense management program
  • Experience exercising discretion and confidentiality with sensitive company information
  • Excellent organizational skills with an ability to think proactively and prioritize work
