You thrive in a dynamic role, handling lots of diverse responsibilities. This position provides high level Executive support to the President and the people on the team. You will build and maintain positive relationships with a diverse group of external callers as well as internal contacts at all levels of the organization. Independent discernment is required to plan, prioritize and organize diverse workload; recommends and implements changes in office practices or procedures.Day to Day:Relationship Management: act as liaison with trade and partner organizations, government officials and their staff, e.g., Governor, State & Federal Congressmen/Senators, lobbyists, Chamber of Commerce, IBHS, NAMIC, FIC, etc., welcome new employees.Calendar Management: manage demands of President s time to help set priorities; monitor/maintain calendar for President and team members; prioritize meetings, rescheduling as appropriate; review upcoming events to prepare accordingly.Support: provide phone back-up for former Chairman, CEO, CEO s Assistant, CIO and CIO s Assistant; provide back-up to CEO s Assistant for Board Meetings; provide back-up for other Assistants as needed.Meeting Planning: develop and/or assist to develop agenda/presentation; research/secure venue; coordinate with IT/Facilities for set-up; plan for meals and other incidentals; coordinate department lunches, events, etc.Expense Management: reconcile monthly corporate credit card (CC) for President; assist with manual expense reports when needed; approve direct report CC reports and advise President of questionable expenses; process invoices.Travel Planning: research, book and change air, hotel, ground transportation, etc.; provide trip file with confirmations, boarding pass, meeting materials, maps, etc.; resolve cost-effectiveness of using private aircraft and coordinate with Corporate pilot accordingly.Task Management: screen President s calls/mail and forward as appropriate; attend bi-weekly Admin Meetings.Event Management: maintain files on various associations for trade show partnership/courtesies; maintain schedule of events; plan/coordinate planning meetings for future events; manage hospitality and other events from start to finish; purchase gift cards; maintain inventory of marketing promotional items; send promo items; calculate return on investment upon event completion.What's it Like Here?We are a melting pot of people and we cultivate winners.
